Important: Legal Bridge Estate Support Services is an independent administrative records coordination contractor. We are not a law firm. These Terms govern use of our website and services. By accessing this website or engaging our services, you agree to these Terms.

1. Services Provided

Legal Bridge Estate Support Services ("Legal Bridge", "we", "us") provides estate administrative coordination services exclusively to law firms and authorized legal counsel ("Client") on a B2B basis. Our services include document organization, corporate outreach for date-of-death balance verification, statutory notifications, and asset ledger compilation. We do not provide legal advice, legal representation, or probate services of any kind.

2. No Legal Advice โ€” Administrative Services Only

Nothing on this website or in any document produced by Legal Bridge constitutes legal advice, a legal opinion, or legal representation. All materials are administrative records intended exclusively for delivery to the Client's retaining law firm. All legal responsibility remains with retaining legal counsel. If you require legal advice, please consult a licensed lawyer.

3. Eligibility โ€” B2B Services Only

Our services are available exclusively to law firms, lawyers, and authorized legal counsel acting in their professional capacity. By submitting an inquiry or engaging our services, you confirm that you are a legal professional with authority to engage third-party administrative contractors on behalf of your client.

4. Engagement & Service Agreement

All service engagements are governed by the B2B Master Service Agreement (MSA) between Legal Bridge and the retaining law firm, together with the Client Intake & Consent Form executed by the Executor/Estate Trustee. These Terms of Service apply to website use and general inquiries. The MSA governs all active file engagements.

5. Fees & Payment

Our fees are as set out in the current Rate Card, incorporated by reference into the MSA. Fees are billed as direct client disbursements to the retaining firm's estate trust account. Payment terms are Net 30 days from file delivery. Legal Bridge reserves the right to update its rate card upon 30 days' written notice to retaining firms.

6. Limitation of Liability

To the maximum extent permitted by applicable law, Legal Bridge's total liability to any Client for any claim arising from or related to our services shall not exceed the total fees paid by that Client for the specific file giving rise to the claim. Legal Bridge is not liable for: (a) errors in information provided by the Client, Executor, or third-party institutions; (b) delays caused by third parties; (c) indirect, consequential, or punitive damages of any kind; or (d) any legal outcome of the probate or estate administration process.

7. Indemnification

The Client agrees to indemnify and hold harmless Legal Bridge, its officers, employees, and contractors from any claims, damages, or expenses (including legal fees) arising from: (a) the Client's breach of these Terms or the MSA; (b) inaccurate or incomplete information provided to Legal Bridge; or (c) any claim by third parties related to the estate file.

8. Intellectual Property

All templates, dashboards, SOPs, documents, and tools produced by Legal Bridge remain the intellectual property of Legal Bridge Estate Support Services. The Client receives a non-exclusive licence to use delivered work product for the specific estate file for which it was produced. Reproduction or redistribution without written consent is prohibited.

9. Confidentiality

Both parties agree to maintain the confidentiality of all information exchanged in connection with estate file engagements. Our handling of personal information is governed by our Privacy Policy and the Personal Information Protection and Electronic Documents Act (PIPEDA). All personnel and contractors are bound by Non-Disclosure Agreements.

10. Website Use

This website is provided for informational and inquiry purposes only. You agree not to: (a) use this website for any unlawful purpose; (b) transmit false or misleading information; (c) attempt to gain unauthorized access to any system or data; or (d) use this website in any manner that could damage, disable, or impair our systems. 2. Personal Information We Collect

In connection with the estate administrative services we provide, we may collect the following categories of personal information:

  • Deceased individual: Full legal name, date of birth, date of death, Social Insurance Number (SIN), last known address, government ID numbers, financial account details, property records
  • Executor / Estate Trustee: Full name, contact information, government-issued photo ID details, authorization documentation
  • Law Firm Personnel: Lawyer and clerk names, direct contact information, firm file reference numbers
  • Financial & Asset Information: Bank account numbers and balances, investment account details, property values, outstanding debts and liabilities

We collect only the information necessary to fulfill the specific administrative services requested by the retaining law firm.

3. Why We Collect Personal Information

  • Verifying the identity of the executor and retaining law firm
  • Contacting financial institutions, government agencies, and credit bureaus on behalf of the estate
  • Obtaining official date-of-death account balances and closing documentation
  • Filing statutory notifications with Service Canada, provincial health registries, Equifax Canada, and TransUnion Canada
  • Compiling the National Asset & Liability Dashboard for delivery to retaining legal counsel
  • Generating administrative documents (authorization letters, invoices)
  • Maintaining internal file tracking and operational records

4. Legal Basis for Collection

We collect and use personal information with the knowledge and consent of the Executor/Estate Trustee, as documented in our Client Intake & Consent Form and Third-Party Corporate Authorization Letter. In certain circumstances, collection may be authorized without consent where required by law or where obtaining consent would compromise the purpose of collection.

5. How We Protect Your Information

  • Digital storage: All digital estate files are stored in encrypted, cloud-based systems requiring multi-factor authentication (MFA) and role-based access controls
  • Device security: All devices used to access estate information are password-protected, encrypted, and auto-lock after inactivity
  • Physical documents: Physical estate files are secured when unattended and accessible only to authorized personnel
  • Email security: We use approved business email systems and verify recipient identity before transmitting sensitive information
  • Staff training: All personnel and contractors are bound by a Non-Disclosure Agreement and trained on our privacy and security procedures

6. Disclosure of Personal Information

We do not sell, rent, or trade personal information. We disclose personal information only in the following circumstances:

  • To fulfill the service: We share information with financial institutions, government agencies (Service Canada, provincial health registries), and credit bureaus (Equifax Canada Co. and TransUnion Canada) as authorized by the Executor
  • To retaining legal counsel: All compiled administrative records are delivered exclusively to the retaining law firm
  • As required by law: We may disclose information where required by court order, law, or regulatory authority

7. Retention and Destruction

Estate file records are retained for a period of seven (7) years from the date of file closure, after which they are securely destroyed. Digital records are deleted using secure deletion procedures. Physical records are cross-shredded. Destruction is logged in accordance with our Record Destruction Procedure.

8. Your Rights Under PIPEDA

Individuals have the right to:

  • Request access to their personal information held by Legal Bridge
  • Request correction of inaccurate personal information
  • Withdraw consent for the use of personal information (subject to legal and contractual limitations)
  • File a complaint with the Office of the Privacy Commissioner of Canada (OPC) at priv.gc.ca

9. Data Breach Notification

In the event of a privacy breach that poses a real risk of significant harm, Legal Bridge will notify the Office of the Privacy Commissioner of Canada and affected individuals in accordance with the Breach of Security Safeguards Regulations under PIPEDA and our formal Data Breach Response Plan.

10. Changes to This Policy
